Privacy Policy
This Privacy Policy explains what personal information ABS CLEAN&FIX LLC, doing business as ABS Growth Partner ("ABS", "we", "us"), collects through our website (absgrowthpartner.com), our demo phone line, our lead forms, our messages, and our AI assistant product Sofía (also called "Sofía by ABS"). It explains how we use that information and the choices you have. We wrote it in plain language.
1. Who this policy covers
- Website visitors and leads: people who visit our website, call our demo line, fill out our forms or message us.
- Business customers and app users: businesses and independent professionals (for example realtors, beauty professionals, home-service professionals, restaurants and property managers) that use Sofía, and the people who use the Sofía app for them.
- Callers and contacts of those businesses: people who call a business that uses Sofía, people the business adds to its contact list, and people Sofía calls for the business.
- Employees and team members of those businesses: people a business adds to its team in Sofía (for example to send them their schedule, chat with them or use the time clock).
2. What Sofía is
Sofía is a bilingual (English/Spanish) AI voice and text assistant for small businesses. A business can forward calls from its cell phone to a dedicated Sofía number. Sofía answers the calls, records and transcribes them, saves callers' details into the business's contact list (its "memory"), books appointments using the owner's calendar, and, only when the owner asks, places informational calls to the business's existing clients. The owner uses a mobile web app (which can be installed on the phone, and may later be offered on the Apple App Store) to see clients, history and appointments and to talk to Sofía. A business may rename its assistant; "Sofía" is the default name.
3. Our role: the business is in charge of its callers' data
When a business uses Sofía, that business decides why and how its callers' and contacts' information is used (it is the "controller"). ABS acts as a service provider (processor): we process that information on the business's behalf and following its instructions and our agreement with it. If you called or were called by a business that uses Sofía, that business's own privacy policy also applies, and you may contact that business with privacy requests. You can also contact us, and we will help.
The same applies when we provide AI receptionist, lead follow-up or messaging services to a client business: we process information about that business's callers and customers on the client's behalf and under our agreement with them, and we will help our clients respond to privacy requests.
4. Information we collect
4.1 Website, demo line and lead forms
Information you give us
- Name, phone number, email address, business name and type, and anything you write in a form or message.
- Information you share when you book a call or demo.
- Text message consent records: if you check the optional text-message box on one of our forms (sign-up, demo or "call me"), we keep proof of that consent: the date and time, the page, your IP address and the exact wording you accepted.
- "Sofía built for you" form (custom setup and quote): if you fill it in, or Alejandro fills it in with you on a call or WhatsApp with your OK, we collect your business details (name, owner, phone, email, industry, areas, number of locations and employees, hours, languages), how your calls are handled today, your work process step by step, the names of the software you use and what you want Sofía to do with it, the reports you want, your rules and tone, and, if you choose, your budget, timeline, who approves and how you want us to contact you. We use it only to prepare your plan and quote and to set up Sofía, and we email a summary to Alejandro. The form never asks for passwords, card numbers or access to your software; long numbers that look like card or account numbers are stored masked. Connecting any software is a separate step that needs your permission.
- "Voice setup" form ("Alta por voz") and "Tell Sofía about your business": a form with the same questions as the setup form and the "Sofía built for you" form. Alejandro may send you a private link (single use, it expires after 14 days), or you see it in your app as the first step after signing up. For each question you can type your answer or record a short audio answer. We collect your answers and, if you choose to record them, audio recordings of your voice and their automatic transcription (made with Cloudflare Workers AI inside our own hosting). We use them only to set up your Sofía and prepare your plan and quote; in your app, your answers also update what your Sofía knows about your business (for example your services, prices, hours and frequently asked questions). We email Alejandro each question with your answer, the transcription and a private link to listen to the audio, and send him a short notice in his app and by Telegram (business name and suggested plan only). Audio can only be played by our team with an admin key. The form never asks for passwords, card numbers or bank details, and long numbers that look like card or account numbers are masked in the transcription.
- Proposals (sofia.absgrowthpartner.com/propuesta/...): when we prepare a proposal for you, we store your name, your business name, type of business, city, phone and email, the plan and setup we recommend, and, only if you told us, the problems you want to solve. When you open the page or tap its buttons ("Get started", payment, "I have a question", "Book a video call"), we record that it happened and when, and Alejandro gets a notice (Telegram, email and his app) so he can follow up. If you send a question or ask for a call, we store your message and the contact you leave. Payments are handled on Stripe's page; we never see your card. If you sign up from a proposal, we link your account to it (that is how a setup removes the activation fee). Proposal pages are private links, not indexed by search engines.
- Founding businesses (sofia.absgrowthpartner.com/fundadores): when you reserve a founder spot, we store your name, your business name, email, cell phone and the plan you chose, plus your acceptance of the Founder Agreement (date, version and the IP address it was accepted from) as proof of the agreement. Payment is made on Stripe's page; we never see your card. If you have (or create) a Sofía account with the same email, we link it so the activation fee is removed and your price is frozen. A reservation that is never paid is deleted automatically after 30 days.
When you call our demo line (239) 445-3884
- Your phone number (caller ID), the date, time and length of the call.
- A recording and a written transcript of the call, and notes or summaries made from it.
Information collected automatically
- Basic technical information such as browser type, device type, IP address and pages visited. Our website may use cookies or similar tools to work properly and to understand traffic. You can block or delete cookies in your browser settings.
- Meta Pixel (advertising measurement). Our demo pages (for example, sofia.absgrowthpartner.com/prueba) use the Meta Pixel. It tells Meta that a page was visited and which steps were completed (for example, that the demo was heard or that a contact form was sent), so we can measure and improve our ads on Facebook and Instagram. When you send us your email or phone number on those pages, the pixel may send them to Meta in hashed (encrypted) form so Meta can match the visit to its users ("advanced matching"). Meta handles this data under its own policy (facebook.com/privacy/policy).
4.2 Sofía: business customers and app users
- Name, phone number, email address and business information.
- App settings (for example the assistant's name, language and business details you give Sofía).
- Your conversations with Sofía inside the app.
- ABS's own private assistant (only the account of ABS's owner, Alejandro): his personal daily-life notes, including his running training plan (sessions, distance, time, how each run felt) and any pain notes he chooses to log, plus health numbers he sends from Apple Health. These are encrypted at rest (AES-GCM), are used only to remind and coach him, are never visible to any other customer and are never shared or sold. Sofía does not give medical advice. This does not apply to business customers or their callers.
- Your calendar link, if you provide one: a private, read-only iCal link from Google Calendar or Apple iCloud. We use it only to read your busy times so Sofía does not book over them.
- Device and app technical data (for example device type, browser, IP address, app version and error logs).
- Text messaging registration (when the business signs up for Sofía, or later in the app; the business can choose to skip it): legal business name, EIN (federal tax ID number), business type and industry, business address, website, and the name, title, email and phone number of the business's contact person. Sole owners without an EIN give a personal mobile number instead, which the phone carriers use to verify them. See Section 8.1.
4.3 Sofía: callers and contacts of a business
- Name, phone number, email address and notes about the request.
- Call audio (recordings), transcripts and conversation summaries.
- Appointment details (date, time, reason).
- Information the business adds to its own contact list, and records of calls Sofía made for the business, including any "stop calling" request.
- Text message consent records: if a person checks the optional texting box on a business's booking page, we keep proof of that consent: the date and time, the page, the IP address and the exact consent wording shown. See Section 8.2.
- Text messages (when the business turns on texting): the texts a person sends to the business's Sofía number and the replies the business or Sofía sends (content, date and time, phone number and delivery status), plus any STOP / START request. Long numbers that look like card or account numbers are stored masked. We also note when a call to the business was missed, so Sofía can send one text back (see Section 8.2).
4.4 Sofía Partners (referral program)
- If you are a partner: your name, phone number or email, and your payout method. If you are paid by hand (Zelle, Cash App or another method we agree on), we keep your payout handle encrypted and only show its last 4 characters. We keep a record of the rewards and payments we made to you. If the law requires it for taxes, we may ask for tax information such as a Form W-9.
- If you connect a Stripe account to get paid (Stripe Connect): Stripe collects your identity, bank and tax details directly on its own page, under Stripe's privacy policy. We never see them. We store only your Stripe account ID and whether it can receive payments, and we send Stripe the commission amounts to transfer to you.
- If you are a Sofía customer: your account automatically has a partner code (based on your account name) and link to share. Free-month rewards are added as a credit to your customer balance at Stripe.
- If you signed up through a partner's link or QR code: we save the partner's code in your account and in our payment processor (Stripe), so we can calculate the partner's reward from the payments you actually make, and so you don't pay the activation fee. To remember the code while you look at our pages, we set one cookie (
sofia_r) that contains only the partner's code and expires after 90 days.
4.5 Sofía OS: jobs, inventory and team (optional business tools)
Sofía OS is a set of optional tools inside the owner's app. They work only when they are turned on for that business's account and the business's plan includes them. The business decides what to enter. Everything is kept separately for each business.
- Job cards ("My jobs"): the customer's name and contact details, the job address, measurements, notes (typed or dictated to the assistant), photos, materials, appointment dates, and the number, amount and status of the related estimate, invoice and payment. When the owner taps "I'm here" or takes the first photo of a visit, the job card saves the location (GPS point) of that moment, so the owner knows where the job is. Photos are made smaller on the phone before they are uploaded.
- Shared job links: the owner can share one job with an employee or with the customer through a private link (
/t/...) that only shows that job and expires by itself (30 days for a customer, 60 days for an employee), or sooner if the owner removes it. An employee sees the address, contact, measurements, notes, materials and photos, never money. A customer sees the stage, date, photos and the total, never internal notes. If comments are allowed, we keep the comments and who wrote them. - Rules the owner teaches the assistant ("Sofía learns from her owner"): short rules the owner dictates or types, such as how to greet customers. Rules that ask the assistant to hide that it is an AI or that the call is recorded, to call or text without permission, or to make up prices are rejected automatically.
- Inventory: materials and their name, code (barcode, QR or SKU), category, unit, cost and sale price, minimum and reorder amounts, supplier, notes and photos; places where they are kept (for example the shop or an employee's truck); the history of what came in, went out, moved or was used on a job, and who did it; and the shopping list. Barcode and QR scanning is done with the phone's camera on the phone itself; we do not keep the camera image. On some phones the scanning code is loaded from a public code library service (jsDelivr), which, like any website, sees the phone's IP address. The shopping list is never sent to a supplier by Sofía: the owner copies it and sends it.
- Team (employees):
- What the owner enters: each person's name, phone, email (optional), language, role (lead or employee) and assigned truck.
- Personal link (
/e/...): each person opens their own page with a private link, without a password or another app. The link works like a key: the owner can replace it (the old one stops working) or remove the person (the link is closed). We keep a record of the link's code to know which business it belongs to, and delete it when the link is closed. - Schedule and job information: the jobs or tasks assigned to that person, with the date, time, address, customer name and phone, measurements, materials, notes, checklist and photos of the job. The person never sees money (estimates, invoices or costs), other people's chats, or jobs that are not assigned to them.
- What the person sends from their page: the buttons "On my way", "Started" and "Done", the checklist, photos and notes added to the job card, materials they used (taken out of their truck's inventory), chat messages (a "General" channel for the whole team and a direct chat with the owner, with "Seen" marks) and which announcements they have seen.
- Time clock and location (GPS): if the owner uses the time clock, we save the time of each clock-in and clock-out and the weekly hours. When the person taps "Clock in", "Clock out", "On my way", "Started" or "Done", or uploads a photo, the page asks the phone for its location at that moment and saves it (latitude and longitude, rounded to about 1 meter, and the accuracy the phone reports; for a photo, it is saved as the job's location if the job does not have one yet). This only happens at the moment of the tap. Sofía does not follow the person's location in between, in the background, or when the page is closed. The only exception is automatic arrival (see below): while the page is open and on screen with a job "On my way", it checks the location only to know if the person arrived, and it sends only the arrival. The phone asks the person for permission; if it is not given, the action is saved without location. The owner can turn the time clock off. The owner can correct a clock-out time, and the correction is marked.
- Team pay records: if the owner uses them, each person's pay type (hourly, per job or fixed) and rate, the hours from the time clock, the jobs approved with the amount added for each person, the payday schedule, and a record of each payment the owner marks as made (date, amount, method such as Zelle, cash, check or deposit, an optional note, and any remaining balance). Sofía only keeps the record: it does not move money and never asks for bank or card details. If the owner allows it, each person sees only their own pay on their page.
- Photos of finished work: when the person taps "Done", the page asks for at least one photo and an optional note. The photos and the note go to the job card (or, for a task without a job card, they are kept for that business), and the owner approves the work or sends it back with a comment. The phone's location at that moment may be saved with the photo.
- Automatic arrival (phone): only while the person's page is open and on screen and a job is marked "On my way", and only if the person allowed location on their phone, the page checks the phone's location to know if they are within about 150 meters (500 feet) of the job address. Only the arrival (time, distance and that point) is sent to Sofía, once; the route is not saved. It stops when the page is closed or hidden, when arrival is marked, or if the person did not allow location. To find the job address on the map, Sofía sends only the address (no names) to the U.S. Census Bureau Geocoder.
- Vehicle GPS (optional): if the owner connects a GPS tracker in a work vehicle (for example Bouncie) to the private address Sofía gives them, the tracker sends Sofía the vehicle's location. Sofía uses it only to mark that the people assigned to that vehicle arrived at today's job, and keeps only the arrival point and the last location received (updated at most every 15 minutes, to show that the device is connected), not the routes. Removing the vehicle in the app turns that address off right away. The tracker company handles its own data under its own policy.
- Who sees it: only the owner of that business (in the app, and by voice when the owner asks the assistant things like "who is working?"). Messages in the "General" channel are seen by the whole team of that business. ABS does not use team data for anything else, and never sells it.
- Notices to the team: each person has a list of notices on their page (new jobs, changes, approvals, payments marked as made). If the owner turns it on and the person has an email address, we also send them an email. Text messages to employees are prepared but off; they would only be sent to people who agreed to receive them, after the business's texting registration is approved, and they can always reply STOP.
- Limits: each person can send up to 80 messages and 30 photos a day.
- Who is responsible for employees' data: the business is the employer and decides whether to use the team tools, the time clock and the location. For this data the business is in charge (controller) and ABS is its service provider (see Section 3). We recommend that the business tell its employees in writing, before they use their link, that the time clock and the job buttons and photos save their location at that moment, what it is used for and who sees it, and keep their acknowledgment. Some states have their own rules about telling employees about electronic monitoring or location; the business is responsible for following the laws where its employees work. Employees can ask their employer, or us, about their data (see Section 13).
5. How we use information
- To answer your questions, give you a demo, and follow up about our services.
- To provide the Sofía service: answer calls, keep each business's contact list and history, and place the informational calls the business asks for.
- To book, confirm and remind about appointments, and to send calendar invitations by email.
- To send notifications (for example new call or new appointment alerts) to the business.
- To send you texts and emails you agreed to receive (see Section 8).
- For quality and safety: to review call quality, fix problems, prevent misuse and improve our services.
- To send quotes, agreements and invoices if you become a client.
- To keep our website and systems secure and to follow the law.
6. Calls, AI and recording
- Every call answered or placed by Sofía starts with a notice that the person is talking to an AI assistant and that the call may be recorded. Florida law requires the consent of all parties to record a call (Fla. Stat. § 934.03). If you do not want to be recorded, you may hang up.
- Call audio and text are processed by a third-party AI provider, ElevenLabs, for voice AI, speech-to-text and text-to-speech.
- Returning callers (Sofía's memory): to serve you better, Sofía remembers you separately for each business, linked to your phone number, in two places:
- a short note: your first name, preferred language and tone, what you last asked for and how many times you have called. It is stored under a hashed (scrambled) form of your number and is deleted automatically after 90 days without a new call;
- in that business's contact list, next to your name and phone number: a summary of your last call, up to 6 facts you shared (for example the service you need or your area), up to 4 preferences, and up to 5 things the business promised you (for example "call back with a quote") and whether they were done. Sofía uses this part for 12 months after your last call; it is deleted when the business deletes your contact or its account (30 days after the account ends), or when you ask.
- If you call again and nobody has called you back (only if the business turns this on): Sofía counts how many times your number called that business in the last days (up to 30; 14 by default) without anyone getting back to you. For this she stores, under a hashed form of your number, the time of each call, your first name, a few words about what you need and the last 4 digits of your number; it is deleted automatically 2 days after the counting window ends, or as soon as the business marks you as handled. With that, Sofía can apologize for the wait, put your call through live to the business owner's phone during the hours the owner chose (the owner first hears your first name, how many times you called and what it is about), or schedule a time for the owner to call you back. The owner gets an urgent notice by email and in the app (with your number, so they can call you back); in voice or chat notices only the last 4 digits are used. ABS Growth Partner may receive an internal alert (first name and last 4 digits only) so the call does not get lost. Sofía never calls anyone for this: she only answers people who called.
- If you fill out a business's form and check the box to receive calls (only if the business turns this on): Sofía may call you within about a minute, only between 8am and 8pm your local time, at most once automatically per day and never more than 3 times in 24 hours. We keep proof of your permission (date and time, the page or ad, your IP address when the form sends it, and the text you accepted) in that business's client list. If during the call you are ready or ask for a person, Sofía can put your call through live to the business owner's phone in the hours the owner chose (the owner first hears your first name and a few words about what you need, and at that moment receives your file in the app and by email: your name, number, what you asked for, the other answers you gave on the form, such as your city or how many people, and a short summary of what you told Sofía). We never keep Social Security, card, bank or ID numbers from the form. If the owner doesn't answer in about 20 seconds, Sofía comes back to the call and offers to book an appointment, and the owner gets a notice in the app and by email (in app notices only the last 4 digits of your number are used). To avoid duplicate calls we keep your number for 24 hours. Say "stop" at any time and Sofía won't call you again. If you did not check the box, Sofía does not call you.
- Assistant voice: the owner can choose the voice of their assistant from a short list of synthetic voices provided by ElevenLabs. Some of them come from ElevenLabs' Voice Library, made by voice actors who chose to share their voice; ElevenLabs pays them for use, and they do not receive the calls or anyone's data. The greeting can change with the time of day ("good morning", "good afternoon"), using only the business's time zone. Changing the voice does not change what is collected. We do not copy (clone) the voice of callers, employees or anyone else.
- We do not create voiceprints or other biometric identifiers from calls.
- We do not use customer data to train AI models. We do improve the written instructions our assistants follow, as explained next.
- Shared, anonymous learning ("common manual" and "common corrections"): calls are reviewed automatically (and, when something fails, by our team with the help of AI tools) to find what an assistant did well or badly. Only general behavior rules, written without personal data, are shared between the assistants of different businesses (for example "if the caller is driving, offer to call back"). Before a rule is added it is checked automatically to remove names, phone numbers, emails, links, prices and sensitive topics, and ABS approves it. No caller's words, recordings or contact details are passed to another business. What Sofía learns from one business's calls (its own manual) is used only for that business, and bigger changes wait for the owner's OK.
- Calendar access is read-only. Bookings are stored by us and sent to the business owner as email calendar invitations.
Our own demo line may also be answered by an AI assistant. Calls may be recorded and transcribed. The assistant will tell you this at the start of the call. If you do not want to be recorded, please hang up and email us at ale@absgrowthpartner.com. Demo-line call audio, transcripts and related data are processed by our service providers, including ElevenLabs (AI voice), Twilio (phone service) and GoHighLevel / LeadConnector (CRM, scheduling and messaging).
7. We do not sell your data
We do not sell your personal information for money. We do not sell sensitive personal information. We do use the Meta Pixel on our demo pages to measure and improve our own ads (see Section 4). Under some state privacy laws this can count as "sharing" for targeted advertising. You can opt out at any time by writing to ale@absgrowthpartner.com with the subject "Opt out"; we will stop sending your information through the pixel and ask Meta to treat it accordingly. You can also block the pixel with your browser's cookie or tracking settings, and manage how Meta uses data for ads in your Facebook or Instagram ad settings.
8. Text messages (SMS) and email
- Texts from ABS Growth Partner (Sofía): we only text you if you check the optional text-message box (unchecked by default) on our sign-up, demo or "call me" forms. The texts are about your demo, your account, your trial and your appointments, and follow-ups to information you asked for. Consent is not a condition of purchase. Giving us your number for calls or email does not, by itself, sign you up for texts.
- Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out at any time, START to sign up again, or HELP for help (or email ale@absgrowthpartner.com).
- We keep proof of your consent (date and time, page, IP address and exact wording) for as long as we keep your lead or account information (see Section 12), and we record any STOP request.
- We do not share or sell your phone number or your SMS consent to third parties or affiliates for marketing.
- Sofía emails are mostly transactional (for example notifications and calendar invitations). We do not send marketing emails without your consent. Our emails include our physical mailing address.
- To stop marketing emails, click "unsubscribe" in any email or write to us.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
8.1 Text messaging registration for business customers (A2P 10DLC)
US phone carriers require every business that sends texts from a regular 10-digit number to be registered (this is called "A2P 10DLC"). The registration is included in the Sofía activation fee. We collect the information listed in Section 4.2 when the business signs up (or later, in the app: Settings → Helpers → Text messages). We only send it to Twilio after the activation fee has been paid; if the business cancels before that, we delete it.
- Why we collect it: only to register the business and its texting campaign, and to keep that registration up to date.
- Who receives it: only Twilio and, through Twilio, The Campaign Registry and the mobile carriers (and the identity-verification services they use), only for that registration. We do not use it for anything else, and we never sell it.
- How we protect it: the EIN is encrypted at rest (AES-256-GCM) and is shown only as its last 4 digits, in the app and in our internal notices. It is never written to logs, alerts, push notifications or error reports. Our server decrypts it only at the moment it is sent to Twilio, over an encrypted connection. Only the business owner (signed in to their own account) and ABS's administrator can access the registration.
- How long we keep it: while the business uses text messages, until the business deletes it, or up to 30 days after its account ends. Twilio, The Campaign Registry and the carriers keep their own copy under their own policies and the law.
- Deleting it: the owner can delete it at any time in the app (Settings → Helpers → Text messages → Delete my registration data) or by deleting the account. This turns text messages off for that business. If the registration was already sent to Twilio, we also remove it there within 30 days.
8.2 Texts a business sends to its customers
- A business's customers get texts only if they agree: an optional box, unchecked by default, on the business's booking page, or a clear "yes" to the business's assistant during a call. Consent is not a condition of booking or purchase.
- The texts are only about the person's own appointment: confirmation, reminders, "on our way" notices, rescheduling and a thank-you the day after the visit with a link to leave a Google review. Up to 5 messages per appointment. Message and data rates may apply.
- Missed calls: if the business turns it on, and only for callers who agreed to receive texts from that business (or when the business's approved texting registration covers missed-call replies), when someone calls the business and the call is missed or ends before they speak, Sofía may send that caller one text asking how the business can help (at most one per phone number every 24 hours, only between 8am and 8pm in the caller's local time). Nothing else is sent unless the person replies.
- Two-way texting: if a person texts the business's Sofía number, the message is saved on that person's card in the business's app so the business can reply. The business can reply only to people who texted first (within 72 hours) or who agreed to receive texts, and never after a STOP. Texts never include financial data (card, bank account or Social Security numbers); the app blocks them.
- Reply STOP to any text to stop, START to sign up again, or HELP for help.
- Proof of consent (date and time, page, IP address and the exact wording accepted) is kept with the person's contact in that business's list, and is deleted when the contact or the business's account is deleted (see Section 12).
- Each business has its own SMS terms and privacy page, linked next to the box (sofia.absgrowthpartner.com/r/business/terminos and /privacidad). They follow this policy.
9. Who we share information with
We share information only as needed to run our business:
- The business you called or that called you. Information about callers and contacts collected by Sofía is available to the business that uses Sofía.
- The business's own team and customers, when the owner chooses. If a business uses the team tools or shares a job link (Section 4.5), the people it assigns see the details of their own jobs (for example the customer's name, phone and address, and the job photos), and a customer with a shared link sees their own job. They never see money unless it is the customer's own total.
- Service providers that work for us, such as ElevenLabs, Twilio, Cloudflare, GoHighLevel / LeadConnector, Google (email, calendar and business tools), Apple iCloud (calendar link only), Meta (if you contact us through Facebook, Instagram or WhatsApp, and the Meta Pixel described in Section 4) and payment processors such as Stripe (if you pay an invoice). They may use your information only to provide their services.
- Text messaging registration: the business registration data described in Section 8.1 goes only to Twilio, The Campaign Registry and the mobile carriers, only to register the business for texting.
- Sofía Partners: if you signed up through a partner's link, that partner sees only your business name and whether you are on a trial, paying or canceled. They never see your calls, contacts, customers, payment details or how much you pay. To pay partners who connect Stripe, we send Stripe their commission amounts and their Stripe account ID.
- Legal reasons, if required by law, court order, or to protect our rights, safety or property.
- Business transfer, if our business is sold or merged, your information may be transferred to the new owner under this policy.
None of the sharing above includes text messaging opt-in data and consent (see Section 8).
QuickBooks Online (Intuit)
If a business chooses to connect its QuickBooks Online company to Sofía (Settings → Connect QuickBooks), Sofía uses Intuit's official OAuth 2.0 connection with the Accounting permission only. With that connection Sofía can read and create, in that business's own QuickBooks, customers, products/services (one "Services" item if none exists), estimates and invoices, and send an estimate or invoice by email only when the business owner confirms it.
- What we keep: the encrypted connection tokens (AES-GCM), the QuickBooks company ID and name, and a short list of the last estimates and invoices Sofía created (number, customer, amount, due date, status) so the owner can ask about them.
- What we do not do: we do not sell QuickBooks data, we do not use it to train AI models, we do not show it to anyone other than that business, and we do not combine it with other businesses' data.
- Financial reports (read-only): on plans that include it, the owner can ask Sofía by voice (or open the "Numbers" card in the app) for their sales, who owes them (open invoices), expenses by category, profit and loss, and money in vs. out. To answer, Sofía only reads reports and transactions from that business's QuickBooks at the moment of the question; this feature never creates, changes or deletes anything in QuickBooks. We do not store these figures: they are not saved in our databases, not written to logs, not sent to Telegram or push notifications, and not shared with ABS staff. If the owner turns on the optional "Number updates (QuickBooks)" helper in the app (Settings → Helpers; it is off by default), the owner's own Monday report email includes one line with last week's sales and the amount owed to them.
- Payments received outside QuickBooks: when the owner says a customer paid outside QuickBooks (for example by Zelle, cash or check), Sofía looks up the matching open invoice, reads the payment back to the owner, and records it in that business's QuickBooks (linked to the invoice, with the payment method) only after the owner explicitly confirms it. A payment recorded by mistake can be voided (never deleted) with the owner's confirmation. We keep a short list of the last payments Sofía recorded (invoice number, customer, amount, method, date, status) so the owner can ask about them; it is not sent to push notifications, Telegram or logs. We do not move money and never ask for bank passwords.
- QuickBooks review (read-only): if the owner turns on the same helper, the daily summary may remind the owner of invoices unpaid for more than 7 days. On request, Sofía reviews the QuickBooks file (inactive accounts, duplicate names, items set up incorrectly, very old open invoices or estimates, uncategorized amounts) and suggests safe fixes; the full review is emailed only to the owner's own email address. The review itself changes nothing in QuickBooks, and we never ask for bank passwords.
- QuickBooks cleanup (with the owner's approval): if the business has the cleanup service, Sofía can apply the suggested fixes in batches of up to 10, only after the owner explicitly approves each batch. Only reversible changes are allowed: making an account, customer, vendor or item inactive (never one with a balance, and never tax, payroll, equity or system accounts), renaming a customer, vendor or item, setting an item's income account, and closing an old estimate. Nothing is deleted or merged, and invoices, payments, taxes, payroll and closed periods are never touched. For each change we keep a log (what changed, from what to what, and when) for up to 90 days so the owner can undo a whole batch; the log contains names, not amounts. After each batch we email a written summary of the changes (names, not amounts) only to the owner's own email address. If the owner asks Sofía to order the cleanup, we create a request for our team (the business name and the request, nothing from QuickBooks) and the invoice is sent by email outside the app.
- AI processing: when the owner asks Sofía by voice to create an estimate or invoice, or asks about their numbers, the request and the result are processed by our AI voice provider only to complete that request.
- Disconnecting: the owner can disconnect at any time from Sofía (Settings) or from QuickBooks. When disconnected, we revoke the tokens with Intuit and delete them from our systems. Deleting the Sofía account also deletes the QuickBooks connection and the saved lists.
10. Sofía subprocessors
- ElevenLabs: voice AI, speech-to-text and text-to-speech.
- Twilio: phone numbers and telephony (connecting calls), text messages, and the A2P 10DLC texting registration.
- Resend: sending emails (appointment confirmations, reminders and notifications).
- U.S. Census Bureau Geocoder (government service, free): we send only a job's street address to find it on the map for automatic arrival. No names or other personal data.
- Vehicle GPS tracker of the business's choice (for example Bouncie), only if the owner connects one: it sends us the vehicle's location.
- Cloudflare: hosting of the service and the app, and data storage.
- Google: Gmail, used to send notifications and calendar invitations; and the business's Google Calendar link, if provided.
- Apple iCloud: only the business's calendar link, if provided.
- Anthropic (Claude): AI that our team uses to review failed calls and fix the assistants (it can read the transcript of that call), and to prepare work that ABS approves.
- Cloudflare Workers AI: AI inside our own hosting, used to summarize how a business's callers talk (for its assistant's tone), to transcribe voice feedback and "Voice setup" audio answers, and to read photos or receipts the owner chooses to send.
- Telegram: internal alerts to ABS's administrator only (for example "the assistant of business X cut a sentence", with a link to the call). They may include a short excerpt of what was said in a failed call; never card, bank, Social Security, EIN or health details.
- Stripe: payments, subscriptions and receipts (card details are handled by Stripe, never by us), and partner payouts.
- Intuit QuickBooks: only if the business connects its QuickBooks (estimates, invoices and read-only financial reports; see Section 9).
11. Where information is processed
Our providers process and store information primarily in the United States.
12. How long we keep information
Sofía
- Call recordings and transcripts: up to 90 days.
- Contacts and notes: until the business customer deletes them, or 30 days after the customer's account ends.
- Caller memory (Section 6): the short note, 90 days after the last call; the memory in the contact list is used for 12 months after the last call and deleted with the contact.
- Repeat-call count (Section 6, only if the business turns it on): up to 2 days after the counting window (at most 32 days), or until the business marks the caller as handled.
- App feedback ("Your opinion", including voice notes transcribed to text): 400 days.
- Text message consent records: kept with the contact and deleted with it.
- Text message conversations (Section 8.2): up to 400 days after the last message in that conversation; deleted sooner when the business's account is deleted. STOP requests are kept while the business's account exists, so we never text that number again.
- Text messaging registration data (Section 8.1): while the business uses text messages; deleted when the business deletes it, or within 30 days after the account ends.
- Sofía Partners: partner details while the partner is in the program (bank and tax details connected through Stripe are kept by Stripe under its own policy); payout records as long as tax and accounting law requires. A partner can ask us to delete their details at any time (we keep only what the law requires). The
sofia_rcookie expires after 90 days. - Sofía OS (Section 4.5): job cards, photos, comments, inventory and its history, team members, schedules, chats, announcements and time clock records are kept while the business's account exists, until the owner deletes them, or 30 days after the account ends. The longest lists keep only the most recent items (for example the last 2,000 clock-ins and clock-outs and the last 300 messages of each chat). Shared job links expire by themselves (30 or 60 days). When the owner removes a person from the team, their link stops working right away; their past hours and messages stay in the owner's records until the owner deletes them or the account ends. Team pay records are kept while the account exists (the last 1,000 payments); hours and approved jobs that have not been paid are never trimmed. Vehicle GPS addresses are deleted when the owner removes them or when the account is deleted.
- After that, the information is deleted, unless the law requires us to keep it longer.
Website, demo line and lead forms
- Demo-line call recordings and transcripts: up to 12 months, then deleted, unless needed longer for a dispute or by law.
- Lead and contact information: as long as we have an active conversation or business relationship, and up to 3 years after our last contact.
- "Sofía built for you" form answers: up to 3 years after the last change, then deleted automatically. If you become a customer, what we use to set up your Sofía becomes part of your account and follows the Sofía rules above.
- "Voice setup" form: written answers and transcriptions follow the "Sofía built for you" rule above (up to 3 years after the last change). Audio recordings are deleted automatically after 90 days. A link that is not used expires after 14 days. You can ask us to delete your answers and audio earlier by email.
- Proposals: up to 1 year after they are created, then deleted automatically. If you become a customer, what we need follows the Sofía rules above.
- Founder reservations: unpaid ones are deleted automatically after 30 days; a paid Founder Agreement is kept as a contract (rule below).
- Client records, contracts and invoices: as long as required for tax, accounting and legal purposes.
You can ask us to delete your information sooner (see Section 13).
13. Your choices and requests
- Ask us what personal information we have about you.
- Ask us to correct or delete it.
- Callers and contacts can ask the business they dealt with, or ABS, to delete their information. You can also tell Sofía "stop calling" during a call, and you will be added to that business's do-not-call list.
- Business customers can delete their account and data inside the app (Settings → Delete my account and data) or by email. We delete the account within 48 hours: we cancel the subscription, release the phone number, delete the clients, appointments, calls, notes and settings, remove access to the app, and email you when it is done. Business owners can change their own information at any time in the app (Settings), and can see or delete their text messaging registration data at any time (Settings → Helpers → Text messages).
- Business owners can also delete single items from the app: a client (with that client's notes, calls, text conversations and memory), the app's notices, and job cards with their photos and links. If you can't find a button, write to us and we will do it. Two lists are kept even after a client is deleted, because the law asks us to respect them: the numbers that replied STOP to texts and the people who unsubscribed from emails.
- Employees and team members can ask the business they work for, or us, to see, correct or delete their data. The owner can remove a person from the team at any time, which closes their link. If an employee writes to us, we will tell the business and help it answer, because the business is in charge of that data.
- Opt out of texts (reply STOP) or marketing emails (unsubscribe) at any time.
To make a request, email ale@absgrowthpartner.com. We may need to verify your identity. We complete deletion requests within 30 days, including at our subprocessors where possible.
14. How we protect information
We use reasonable safeguards, including encryption in transit, access keys, least-privilege access (only the people and systems that need data can reach it), activity logs, and trusted providers. Especially sensitive business data, such as the EIN and accounting connection tokens, is also encrypted at rest and never written to logs. No system is 100% secure, so we cannot guarantee absolute security.
15. Data breaches
If a security breach affects personal information, we will follow the Florida Information Protection Act (Fla. Stat. § 501.171). For information we are responsible for, we will notify affected individuals within 30 days, and we will notify the Florida Attorney General when 500 or more Floridians are affected. When we hold information as a third-party agent for a business customer, we will notify that business within 10 days so it can meet its own obligations, and we will help it.
16. Children
Our website and services are for businesses and adults. The Sofía app is for business users who are 18 or older. Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 (consistent with the Children's Online Privacy Protection Act, COPPA). If you believe a child gave us information, contact us and we will delete it.
17. Florida law
ABS Growth Partner is based in Florida. This Privacy Policy is governed by the laws of the State of Florida and applicable U.S. federal law.
18. Changes to this policy
We may update this Privacy Policy from time to time. We will post the new version on this page with a new effective date. If a change is important, we may also tell business customers by email or in the app.

- una nota corta: su primer nombre, idioma y tono preferidos, lo último que pidió y cuántas veces ha llamado. Se guarda con su número en forma cifrada (hash) y se borra sola a los 90 días sin una llamada nueva;
7. No vendemos sus datos
No vendemos su información personal por dinero. No vendemos información personal sensible.
